NEXTUP has delivered a Zope/Plone based E-invoicing solution to ACTIVA, the biggest office supplies vendor in the Czech Republic.

Customer

ACTIVA is one of the major vendors of office supplies in the Czech Republic. NEXTUP has been delivering B2C solutions to ACTIVA since 1999. The annual turnover of ACTIVA online shop exceeds 1.600 million CZK (approx. 98 million USD).

Business needs

Amount of invoices issued daily is in the thousands. Issuing such huge numbers of invoices and posting them every day cost ACTIVA a lot of effort, human resources and money. A decision to issue electronic invoices only has been made during the second half of 2006 with the start date set at 1. January 2007.

Solution

Plone based technology has been selected as a framework to build the solution. All orders are stored in Microsoft Navision ERP. They can be generated automatically from the electronic shop or typed-in manually by operators at a call center. From Navision, they are transferred using XML (RPC) to Zope AS with Plone as a CMS, where an electronically-signed PDF with invoice is generated. After going through predefined workflow, the invoice is automatically sent by e-mail to the customer. The delivery status of every invoice is trackable and manual resending is possible.

Result

The solution developed by NEXTUP is helping ACTIVA save costs on postal services and human resources. Digital archive of issued invoices is accessible to operators to easily track individual orders.
